Poster presentation guidelines

Poster presentations at Light Symposium 2026 will include both:

  • A short oral presentation (approximately one minute / one slide), and
  • A printed poster (A0 or A1 size) displayed during the conference.

This format gives poster presenters a good opportunity to briefly introduce their work to the audience and discuss it further with participants during the poster session.

Practical Information

  • There is no formal template for poster presentations. Authors are welcome to use their own preferred template and layout.
  • Authors are responsible for printing and bringing their own poster to the symposium.
  • Posters should be placed on the designated poster boards by Thursday morning. Authors arriving earlier are also welcome to put up their posters on Wednesday evening.
  • The one-minute / one-slide presentations will take place on Thursday during the poster session (16:00-17:00). Each presenter should prepare one single slide introducing the main idea of their work.
  • The projector uses a 16:9 aspect ratio, so presenters are encouraged to prepare their slide in 16:9 format.

Follow the link that you have received by the organizers by email to upload your one-slide presentation. Further practical information regarding the poster boards and presentation order will be provided at the symposium.

Oral presentation guidelines

Oral presentations at Light Symposium 2026 will consist of a 12-minute presentation and will be organized into 2-hour or 1.5-hour thematic sessions, typically including around seven to five presentations. To help the sessions run smoothly and leave sufficient time for discussion, presenters are kindly asked to keep within the 12-minute presentation time.

Session Format

  • Each presenter will have 12 minutes to present their work (the projector uses a 16:9 aspect ratio)
  • Presentations will take place consecutively, with the Q&A and discussion held jointly at the end of the session, rather than after each individual presentation.
  • All presenters are therefore asked to remain for the full session and participate in the joint discussion.
  • The joint Q&A is intended to encourage exchange between presenters and the audience and to create connections between the different contributions within each session.

Presentation Format

There is no formal slide template for oral presentations. Authors are welcome to use their own preferred presentation template and layout.

Presenters are encouraged to prepare their slides with the 12-minute format in mind, focusing on the main message, key findings, and most relevant conclusions of their work rather than trying to cover every detail.

Practical Information

Presenters should arrive at their assigned room at least 10–15 minutes before the beginning of the session to allow time for preparation and any necessary technical checks.

Instructions and template for the full paper

Instructions for authors of accepted abstracts who wish to submit a full paper for publication in the IOP Conference Series: Earth and Environmental Science (EES), open-access conference proceedings – deadline of submission 31 July 2026:

  • Templates for full papers: IOP template and template instructions
    1. Authors must prepare their papers using Microsoft Word or LaTeX, according to the guidelines and templates, and then convert these files to PDF.
    2. Full paper has a recommended length of 10-12 pages (max 16 pages), including illustrations, tables, bibliography, etc.
    3. The submitted full papers will undergo a double-blind review process. Reviewer comments should be carefully considered as they provide valuable guidance for improving your final (camera-ready) paper to be published in the conference proceedings.
  • Registration
    1. In order for the full paper to be published in the proceedings, at least one of the authors from each paper must attend the conference to present the work and pay a regular registration fee.
    2. There is an extra fee of €100+VAT for each published paper in the conference proceedings (IOP fee, to cover open-access publication costs for the proceedings).
  • Deadlines
    1. Presenter registration (required): 25 June 2026 1 July
    2. Full paper submission (optional): 25 June 2026 31 July
    3. Notification of full paper acceptance: 6. Sept 2026
    4. Camera ready (final) full paper submission for the proceedings: 16 September 2026
  • Proceedings Licence
    • For the papers published in the proceedings of Light Symposium 2026, IOP no longer requires authors to sign and submit copyright forms. Authors who wish to publish a paper are asked to submit a paper only if all authors of the paper agree in full to the terms of the licence. All papers submitted to the proceedings of Light Symposium 2026 for publication will be published according to the IOP licence terms and conditions.
  • Information regarding proceedings
    1. Proceedings will be published in open access ‘Earth and Environmental Science’ by IOP Publishing Ltd.
    2. IOP Publishing does not further edit or proofread papers after they are submitted.
    3. Once a paper has been published online, changes will only be permitted in cases of serious scientific error. In those cases, an erratum or corrigendum will be published according to the standard practices of professional scientific publishing.
    4. Change requests relating to stylistic issues cannot be made to proceedings once they are published, so it is important that authors ensure papers have been adequately checked and proofread prior to submission.
    5. Upon publication IOP will write to authors informing them of publication and providing them with a link to their paper.
    6. Printed copies (if required) can be purchased on demand after publication on-line.

Authors of high quality contributions will be invited to submit extended versions of their work in a special issue of a journal to be announced soon.
