Registration Info

Regular Registration Fee:

Early bird (until June 25): 2700 DKK (approx. €350 – VAT included)

Late (after June 25): 3200 DKK (approx. €410) – VAT included)

Student Registration Fee:

Early bird (until June 25): 500 DKK (approx. €65 – VAT included)

Late (after June 25): 750 DKK (approx. €100 – VAT included)

Conference Dinner Fee:

Limited number of seats: TBA

The official conference dinner will take place in central Copenhagen. There is a possibility to purchase Conference Dinner tickets only for your partners/spouses to join a wonderful evening alongside with lighting design community.

Extra IOP fee, to cover open-access publication costs for the proceedings:

€100+VAT = €125 per published paper (payable by authors of accepted abstracts who wish to publish a full paper in the conference proceedings, subject to acceptance).


Rules

A participant is eligible for the student registration rate if they are currently enrolled in a study program or have graduated in 2026; valid proof of student status or 2026 graduation will be asked. PhD students are not included in this category.

To present a submission (accepted abstract), at least one author must register at the regular rate and attend the conference to present the work. Therefore, students who author or co-author a paper or a presentation and are the only author attending the conference should pay a regular fee, not the student rate.

Each regular registration can cover a maximum of two submissions, provided that the registered participant paying the regular fee is listed as an author on these two submissions.


CANCELLATION / REFUND POLICY

The conference organizers hope for a conference with physical presence of all participants. However, if the conference is forced to change the format/cancel the conference due to matters related to COVID-19 (or other national/international epidemic/pandemic or other cases of force majeure), the conference organizers will decide whether to either allow online presentations in a hybrid online/physical conference format, to transfer the whole conference into an online format, to postpone the conference or to cancel it. This will give the participant the opportunity to participate in alternative ways, or the participant can choose to be reimbursed the already paid registration fee according to current principles:

  • Notification of cancellation must be in writing (email) and received by the conference coordinator (ls2026@create.aau.dk) on or before 30 July 2026.
  • Cancellations received on or before 30 July 2026 will be refunded 50% of the fees, but deducted an administration fee of DKK 250.
  • Cancellations received after 30 July 2026 will be non-refundable.
  • Non-arrivals will be non-refundable for any reason.
  • Substitute participants will be accepted at any time – a name will be required.
  • No refunds will be granted for participants with papers included in the proceedings.


GDPR (GENERAL DATA PROTECTION REGULATION)

Aalborg University (AAU) is responsible for data in connection with LS2026. We ask for your consent to the processing of your personal data. By registering to the conference, you hereby give your consent to, that AAU, Department of Architecture, Design and Media Technology may collect and process your name, email and billing address.

For your information, pictures/video may be taken/recorded at the event for use in print and in digital media formats, such as printed materials to promote the Department (mood pictures only, no specific person occupying a central role) or on the LS2026 website. If you do not want to participate in the pictures/videos, please contact the photographer at the event.

Your information is collected on the basis of consent, in accordance with Article 6 (1) of the Data Protection Regulation. 1, letter a. Your information will not be transferred outside the EU & EEA.

The personal information that you provide on the registration form is registered with AAU, Department of Architecture, Design and Media Technology in order to ensure professional execution of the event. Your personal information is used when we contact you in relation to the event and during the event. Your personal information will not be disclosed to third parties.

At any time, you may withdraw your consent for the use of your personal information and specific pictures/videos from the event, where you specifically have agreed at the event to occupy a central role, by contacting the conference. Have we already with your consent publicized your personal information or pictures/videos with your participation, you do not have the right to have them deleted retroactively.

We expect to delete, anonymize or archive your personal information / pictures / videos by 1.10.2027.

When we process your personal data, you have several rights under the Data Protection Regulation. This means, among other things, that you have the right to deletion and data portability. In certain cases, you have the right to access, rectify, limit and object to our processing of the personal data covered.
